Preparing event coverage: what to include in your brief

A schedule and a few clear decisions help prepare consistent coverage.

Start with the intended use

Will the images support a sales presentation, internal communication or social media? Define these uses before selecting formats. A horizontal website photograph and a vertical social video require different preparation.

Share the actual schedule

Provide timings, locations, speeches and room changes. Identify moments that cannot be repeated. Appoint a contact on site who can communicate changes to the schedule.

Define essential images

Make a short list: speakers, audience, installation, partners and details. Flag overlapping moments in the brief so that coverage can be adapted.

Agree on delivery

Define formats, the expected selection and deadlines. If you want to publish during the event, that workflow needs to be planned before filming.
